1. Introduction

Welcome to TechSuite. Your privacy is important to us. This Privacy Policy explains how TechSuite Enterprise Limited (“TechSuite,” “we,” “our,” or “us”) collects, uses, shares, and protects your personal data when you use our services—including our website, TechSuite Management Portal, POS system, Order Aggregator, Extended Products (e.g., Kitchen Display System, Kiosk, Smart Screens, POS Extra Terminal), Add-ons (e.g., Gift Cards, Payment Integrations, Staff Management, Stock Management, Accounting), and related tools.

This Policy also explains your rights and how you can exercise them under applicable laws (such as the UK GDPR, EU GDPR, and other regional regulations).

Depending on the context, TechSuite acts either as a Controller or a Processor of personal data. Where we collect data directly from you as part of your own relationship with us (for example, your account, billing, or contact details as a Customer), we act as a Controller. Where data is processed through the TechSuite Services on behalf of one of our Customers (for example, order or transaction data belonging to a Customer’s own end users), we act as a Processor, and that Customer is the Controller responsible for that data. In such cases, this Policy describes our general data practices, but you should also refer to the relevant Customer’s own privacy policy, and TechSuite’s role and obligations as Processor are further set out in our Data Processing Terms (Exhibit A and Exhibit B of our Terms of Service).

2. Who This Policy Applies To

  • Customers: Businesses and organisations that subscribe to our services.
  • End Users: Individuals who use our software (e.g., staff using the POS system or visitors ordering online).
  • Visitors: Individuals browsing our website.
  • Resellers & Partners: Entities authorised by TechSuite to market, sell, or resell our services on our behalf, and other integrators we work with to provide services.

  • Customer & User Account Data
    • Name, email, phone number
    • Business address and billing information
    • Login credentials and access roles
  • Order & Transaction Data
    • Items ordered, order preferences, time stamps
    • Delivery addresses (when applicable)
    • Payment status and method (not full card details)
  • Device & Usage Data
    • IP address and browser type
    • Device ID, OS, and app version
    • Session logs and usage patterns
  • Location Data
    • Physical store locations
    • Optional geolocation from devices (if enabled)
  • Support & Communications
    • Chat transcripts
    • Emails and support tickets
    • Feedback or responses to surveys

4. How We Use Your Data

We process personal data to:

  • Provide and manage TechSuite services
  • Authenticate users and secure accounts
  • Process transactions and orders
  • Customise features and improve our platform
  • Deliver support and respond to inquiries
  • Monitor system performance and detect abuse
  • Comply with legal obligations

We may also generate aggregated or anonymised data for product insights, benchmarking, or service optimisation.

We do not use your personal data to make solely automated decisions that produce legal effects concerning you or similarly significantly affect you.

7. Who We Share Data With

  • Third-party ordering channels (when integrated via our Order Aggregator)
  • Sub-processors listed in our Data Processing Agreements (Exhibit A & B)
  • Regulators, courts, or law enforcement, if legally required
  • Tax and revenue authorities, where required by applicable law, including through the automated transmission of invoicing or transaction data required under local tax regulations
  • Resellers and business partners, where necessary and lawful, and solely to the extent required to provide the TechSuite Services to you
  • In connection with a merger, acquisition, reorganisation, financing, or sale of all or part of TechSuite’s business or assets, in which case personal data may be transferred as part of that transaction, subject to the safeguards described in this Policy

We do not sell or rent your personal data.

8. International Data Transfers

Where personal data is transferred outside the UK/EEA, we use appropriate safeguards such as:

  • Standard Contractual Clauses (SCCs)
  • UK Addendum to SCCs
  • Adequacy decisions (if applicable)

9. Data Retention

We retain personal data:

Data related to subscription suspensions may be held under a “Data Access Fee” model.

  • Data Portability – Receive your data in a structured format.

  • Right to Know – Request disclosure of the categories of personal data we have collected, used, disclosed, or sold about you in the preceding 12 months (California residents).
  • Right to Non-Discrimination – We will not deny you goods or services, charge you a different price, or provide a different level of quality because you exercised any of your privacy rights.

While we take reasonable steps to protect your personal data, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee the absolute security of your data, and any transmission of personal data to us is at your own risk.

If we become aware of a breach affecting your personal data that TechSuite controls, and where notification is required by applicable law, we will notify you without undue delay in accordance with that law. Where TechSuite processes personal data on behalf of a Customer as a Processor, breach notification is provided to that Customer in accordance with our Data Processing Terms, and the Customer is responsible for notifying affected individuals where required.

12. Children’s Privacy

TechSuite does not knowingly collect data from individuals under the age of 16, or under the applicable minimum age required by the laws of your jurisdiction. If you believe we’ve inadvertently collected such data, please contact us immediately.

13. Third-Party Links

Our services may link to third-party platforms (e.g., food delivery apps, payment gateways). We are not responsible for their privacy practices—please review their privacy policies separately.

14. Changes To This Policy

We may update this Privacy Policy periodically. If changes are material, we’ll provide 30 days' notice via email or platform alerts. Continued use of our services after the notice period indicates acceptance of the revised policy.
